Privacy Policy

PichaPrint turns your photos into printed books. That means you trust us with your pictures and your address, so this page says plainly what we hold, why, and how to get rid of it. We follow Kenya's Data Protection Act, 2019.

The short version: your photos are yours. We store them privately, use them to make and print your book, never sell them, and never put them in our adverts unless you say we can.

What we hold

Your photos and books

The photos you upload and the books you design. Photos are kept at full resolution — that's what makes a good print — in private storage that only your account can open. While you're still designing, the book also sits in your own browser on that device, so you can come back to it.

Your account

Your email address and password, plus your name and phone number if you give them. Passwords are stored scrambled by our sign-in provider; nobody at PichaPrint can read yours.

Your order

Name, email, phone, delivery address and town, any delivery notes, and — if you drop a pin on the map — that location, so the rider can find you. If the book is a gift, the recipient's delivery details and the message you want on the card.

Your payment

Payments go through Paystack(M-Pesa and cards). We never see or store your card number, PIN or M-Pesa PIN. We keep the amount, the date, and Paystack's reference, so we can match your payment to your order and handle refunds.

Visits to the site

We count visits so we know whether the site is working for people. We do notstore IP addresses, and we don't use tracking cookies or advertising trackers. When you open a page, our counter scrambles your IP address and browser together with a secret that changes every day, keeping only the scrambled result, the page you opened and your country. That tells us “one person visited these pages today” and nothing more — it can't be turned back into you, and it can't be matched to your visit yesterday.

Things kept on your device only

The book you're working on, half-finished forms, and small preferences (like whether you've seen a tip already) are stored in your browser and never sent to us on their own. Clearing your browser data removes them.

Why we hold it

To make and deliver your book — the photos, the order details, the address. Without these there is no book and no delivery.
To take payment and keep our books straight — payment records, invoices, tax records.
To keep you posted — order emails, and replies when you contact us.
To improve the site — the visit counts above, which contain nothing personal.

Only the people who have to, and only what they need:

Our print partner— gets the print-ready file of your book and what's needed to print and label it. They print for us under our instructions.
Riders and couriers — get your name, phone and address to bring the parcel. Nothing else.
Paystack — handles the payment itself.
Our hosting and storage providers— the companies that run the website, the database and the private storage where your account, books and photos live. They hold the data for us; they don't get to use it.
Our email provider — sends your order emails.
The font and map services the page loads — the book editor fetches its fonts, and the delivery map fetches its map picture, from other companies. Loading anything from another company means your device asks them for it, so they see the request.

Some of these companies keep data outside Kenya. We use them because they are the practical way to run this service, and we only give them what the job needs. If you want to know exactly which companies these are, email us and we'll tell you.

We never sell your data, and we never hand your photos to anyone who isn't printing or delivering your book.

Our own team

When you ask for help, or when a book needs fixing before printing, our designers and support staff can open that book and its photos. They do it to get your book right, and nothing else.

How long we keep it

Photos and books — until you delete them, or you ask us to close your account. You can delete any photo in My Photos and any book from the Create page.
Print files from checkouts nobody finished — deleted automatically every week.
Order and payment records — kept for as long as tax and accounting law requires us to keep business records, even if you close your account.
Visit counts — kept as totals. There is nothing personal in them to delete.

Your rights

Under the Data Protection Act, 2019, you can ask us to:

Tell you what we hold about you, and give you a copy.
Correct anything that's wrong.
Delete your photos, books and account.
Stop using your data for something (for example, marketing emails).

Email [email protected]from the address on your account and we'll sort it out, normally within seven days. If we've kept something because the law requires it, we'll say so and tell you what it is.

If you think we've handled your data badly, you can complain to Kenya's Office of the Data Protection Commissioner (odpc.go.ke). We'd rather you told us first so we can fix it.

Keeping it safe

Everything travels over an encrypted connection. Your photos and print files sit in private storage — they are not on the open internet, and links to them expire. Access is limited to your own account and to the staff who need it to fulfil your order.

Children

PichaPrint is meant for adults. We don't knowingly collect data from children under 18. If a child has sent us data, email us and we'll delete it.

Changes

If we change how we handle your data, we'll update this page and the date at the top. Carrying on using PichaPrint after that means the new version applies.
